    Job summary

    The Red Hat Global Workplace Solutions (GWS) is looking for an Office Manager to lead the facilities operations in Sydney, Australia. In this role, you will oversee all aspects of office management, including front-of-house and facilities services. You'll be responsible for all key performance indicators, including managing the local expense budgets, operations and maintenance, and serving as the customer relationship manager for Sydney by interacting with senior leaders in the organization. We'll need you to be able to thrive in a fast-paced work environment and be committed to contributing to Red Hat's operational success.

    Primary job responsibilities

    • Perform daily inspection of front-of-house and office, ensuring all facilities are running effectively, including coordination with external vendors and building management for all maintenance and repair issues
    • Serve as backup for the Sydney office reception and local incoming calls, regional phone queue, and incoming and outgoing mail
    • Prepare the annual facilities operations budget for the local office, manage day-to-day office expenses, and ensure approvals and invoices are processed on time
    • Negotiate directly with local vendors and service providers and ensure they meet agreed SLAs and internal procurement requirements
    • Lead GWS initiatives for local office, including global or regional programs as mandated by law or guidelines (e.g. Safety Warden Program, Ergonomics, Snack and Drink Program, WHS, etc)
    • Lead internal events like We Are Red Hat Week, year-end party, World Environment Day, birthday celebrations, etc.; assist in the coordination of catering and other requirements for on-site events and customer events, including minor room setup in front-of-house area
    • Manage and resolve minor space changes, manage space planning for the office, and coordinate setup for new employees; lead local small improvement projects and office projects (refurbishment and new builds)
    • Use and update relevant intranet sites and other computer based systems (i.e. Google Drive, Archibus or Oracle) and track the ticketing system to triage incoming tickets and ensure resolution of any assigned tasks in a timely manner
    • Support new employee on-boarding including induction, office tour and distribution of relevant material including security badges

    Required skills

    • 4+ years of related work experience
    • Solid verbal and written communication skills
    • Attention to detail, with extensive experience in most responsibilities as listed in the job description
    • Advanced skills in developing systems and processes for a smooth office operation
    • Ability to deliver exceptional customer service
    • Motivated, with the ability to work with little direct supervision
    • Team player with a positive attitude to challenges
    • Ability to remain calm, patient, and understanding while handling multiple issues
    • Adept at using available resources to help solve problems and complete tasks
    • Ability to use office applications and willingness to learn new tools and resources
