    Job summary

    The Red Hat Global Workplace Solutions (GWS) team is looking for an Office Manager to join us in Puteaux, France. In this role, you will run the office and you will oversee all aspects of facility management and service delivery, primarily asset management and operations. You'll be responsible for all key performance indicators, including managing the local expense budgets, operations and maintenance, and serving as the client relationship manager for Puteaux by interacting with senior leaders in the organization. We'll need you to be able to thrive in a fast-paced work environment and be committed to contributing to Red Hat's operational success.

    Primary job responsibilities

    • Prepare annual Facilities budget for the local office
    • Manage day-to-day office budget, purchase orders, necessary documentation for approval, ensure monthly invoicing is completed on time, and offer analysis as needed
    • Negotiate and work with local vendors to provide services and supplies to the office and ensure they meet agreed SLAs and KPIs
    • Contribute to the life in the office and work with the rest of the facility team on company and local events to create a great place to work
    • Work closely with the other members of the facility team to provide a great customer experience being flexible to take over some office coordinator tasks when support is needed
    • Serve as a liaison for maintenance and repair issues between building, Property Management, and outside vendors
    • Act as escalation point for associates requests and vendor issues
    • Support Workplace Health, Safety, and Environment initiatives for local office, implementing global and regional programs as mandated by law or policy  or guidelines (e.g. Safety Warden Program, Ergonomics, Snack and Drink Program, ISAAC, SERP etc).
    • Support local physical security system and continuously follows global security policy
    • Manage the mobile phone fleet in coordination with telephony Vendor
    • Use company intranet, ticketing, and other computer-based systems and be directly responsible for the local office intranet page
    • Coordinate catering and other needs for customer and internal department events
    • Provide assistance on assignments that are semi-routine in nature but recognizes the need for occasional deviation from standard tasks

    Required skills

    • Excellent French and English written and verbal language skills
    • Ability to maintain a professional business appearance at all times
    • High performance in delivering outstanding customer service
    • Ability to stay calm, friendly, and customer-oriented at all time, even in stressful situation
    • High attention to detail and advanced skills in developing systems and processes for smooth office operations
    • Motivated, with the ability to work with little direct supervision
    • Team player with a positive attitude to challenges and ability to value different perspectives and approaches
    • 4+ years of related work experience
    • Demonstrated performance in delivering premium customer service
    • Ability to handle multiple priorities
    • Ability to use office applications and willingness to learn new tools and resources; prior experience with Oracle or Archibus is a plus
